Hi IMCs,

Since the beginning of this year we have been talking on the
IMC-Communication mailing list about a real life 10 year anniversary
Global meeting at the end of the year, to discuss the future of the IMC
Network. The meeting is intended to move discussion along, not to make
any decisions.
In the discussions on the imc-communication list and a couple of irc
meetings it was agreed that it would be nice to have this face to face
meeting in one of the Latin America countries hosted by an active local
IMC collective. So we are sending this email to ask the collectives if
they are able and have interest in hosting this meeting. Currently 3
Latin America Collectives have shown interest in hosting this meeting:
Brazil, Ecuador and Bolivia.
We need to decide where to hold the meeting soon, as the meeting will
happen between the last week of 2009 and the first couple of weeks 2010.
The deadline for making this decision is 1st June 2009.
To help the collectives that want to host a Global meeting we prepared
the following list of site requirements, we don’t have the exact number
of people that will be in this meeting, but we are working with
something close of 100 peoples, as we have + / – 223 collectives in
different conditions.
* Site Requirements*
The collective that hosts this meeting must make sure they can provide
the following:
The host collective is in good standing within the network and abides by
the principles of unity and engages to some extent in the global network.
The collective must prepare a budget for the foreseen costs including:
* accommodation for participants,
* a venue for the meeting and
* providing food
in the case that this will be organized collectively.
It doesn’t need to be mentioned, that other volunteers from other IMC
collectives will assist in raising the money.
To maintain transparency, the collective must keep accounts of the
expenses for the event both during the meeting as well as in a email to
the imc-communication list.
If any unforeseen expenses occur, the collective must also notify the
meeting and the imc-communication list, thereby asking support in the
resolution of the problem from the various IMC volunteers.
* Transportation
The collective must supply necessary details for the transportation
possibilities:
1. from major bus stations / airports to the accommodation and meeting
locations.
2. from accommodations to the meeting venue
3. from the accommodation and meeting locations to major bus stations /
airports .
This information should include:
- Ticket prices of local public transportation
- Which lines of buses etc can be used
- The posibility of traveling by foot
- Possibilities for using a taxi
* Requirements on the location of the meeting
The meeting location should be easily accessible and its neighborhood
should be safe for participants to pass through individually, without
fear of law enforcement or assaults.
The meeting location must at least have a space that can host 100 seated
persons, with adequate shielding from sun and rain (and cold weather if
applicable).
It must contain at least 2 functioning bathrooms, and a basic kitchen
for preparing coffee, tea, and similar things.
There should be at least one separate room where people can rest during
the meetings and where other activities may take place.
It must have electricity, including sockets with voltage identification,
and a fast and safe connection to the Internet by cable and wireless.
* Requirements on the accommodation arrangements
We do not require all participants to stay in the same place:
arrangements where people can stay in the houses of the volunteers,
friends and from people that are close to the IMC project, are
acceptable too, as is of course a central location rented or borrowed by
the collective during the meeting.
Additionally, the collective should make a short overview of hostels and
low cost hotels in the neighborhood of the meeting location for
participants that want to arrange their own lodgings. Naturally, these
people should pay for themselves, and their lodging costs will not be
part of the meeting’s budget.
The lodging facilities should be close to public transportation.
If lodgings are organized in a central space:
The location must have enough space for at least 100 people. There’s a
preference for it to be close to shops, a market and a drugstore. The
location must have at least 2 functioning
bathrooms, including shower and a a basic kitchen, and electrcity with
sockets that specify voltage.
* Requirements on the food arrangements
The food arrangements should be organized to be as inclusive as
possible. Considering the expected participants, the best option is to
make sure there is at least vegan food, so that it is suitable for
everyone. If it is not possible to organize the preparation of food in
the meeting location, the collective should look for affordable local
restaurants that serve at least some vegan food.
