[Imc-g8-2005] convergence transport meeting minutes

Hi Folks,
I'm a bit new to this list and not sure what the protocol is for
reporting from the convergence - I've ended up with the transport
meeting minutes so here they are; I'll see if I can find an appropriate
place on the wiki for them.
I'm going to be one of the drivers for a minibus that we're bringing,
and am happy to do some co-ordination for transport in general so if
anyone who's already involved in organising logistics up there wants to
get in touch with me that'd be cool.

Points that came out of the transport meeting at the 14th-15th May
convergence:
- IMC will have its own dedicated transport system at the G8.
- There are two 'hubs' planned so far, one at the rural convergence
center and one at the Forest Cafe IMC.
- Each hub will be manned (24 hours?) by someone with responsibility for
transportation.
- people will be able to contact hubs for assistance with transport
- scheduled trips between hubs, and out to events will be planned and
announced
- data will be regularly transferred for editing / backup from rural
convergence to Edinburgh media centre.
- There'll be a visible booking / information system for the vehicles at
the hubs (large paper sheet).
- booking system will be co-ordinated between hubs by wiki and regular
phone/Skype (voice over Internet) communication
- Drivers should have a 'side-kick' with them to help with phoning /
directions / sanity / emergencies etc.
- The hubs can also be used for stockpiles of water, batteries, film,
(more?) which can be dispatched when needed.
- The hubs will probably be the best place to co-ordinate information on
road-blocks and latest route information.
- The hubs will work closely with IM Dispatch for co-ordination of
IMCisters to actions and reports back from the roads.
- Having a Skype setup will allow easy co-ordination between rural space
& Edinburgh for general issues as well as transport.
Stuff that we need or would be nice to have:
TECH:
- need a dedicated PC at each hub with a soundcard and headsets so that
they can use free VOIP communication.
- nice to have a cheap system of using mobiles to communicate for
drivers / landline at Edinburgh media centre
- nice have laptops to use in the vehicles, plus car cig lighter
adapters
- nice to have mobile phone chargers which work with car cig lighters
- nice to have radio gear for communications with drivers
- nice to have GPS systems
NON-TECH:
- need VEHICLES!
- need INSURED LICENSED DRIVERS!
- need info from other groups on requirements
- need good maps of the area / briefing with people who know the area /
local knowledge available at the venues or as co-pilots
- need Propaganda at the event to let people know that the service is
going to run
- need an idea of what parking is like around the area
- nice to have pool of supplies available at centres to take out with us
e.g. food, drinks, film, batteries
